1. Who is responsible for your data

The data controller is:

2. How your data reaches us

Your data only reaches us when you choose to get in touch. We do not buy databases, we do not track you around the internet, and there is no user registration or customer area.

There are four ways to contact us: the contact form on this website, email, telephone and WhatsApp. The WhatsApp button does not send us anything by itself: it opens the app on your device with a message already written, and it only reaches us if you press send.

If you use the contact form, what you write in it is sent to our server, located in Spain, where your enquiry is recorded and from where we are notified by email so we can reply. The form includes a box you have to tick yourself: nothing is sent without it.

Beyond that, the server hosting the site generates automatic technical logs, as any internet server does, which may include the IP address used to connect, the date and time, the page requested and the browser used. These logs are generated and kept by our hosting provider for security and maintenance; we do not use them to identify you or to build profiles.

Website analytics and the cookies used by Google Analytics, always with your prior consent, are explained separately in our Cookie policy.

3. What data we handle

When you contact us, we handle the information you give us voluntarily. Typically that means:

  • Identification and contact details: name, phone number, email address and, on WhatsApp, your profile photo and public name if you have set them.
  • Contact form data, if you use it: your name, your email address, your phone number if you give it to us, the type of service you need, the approximate date and the message you write. We also record the IP address it was sent from, solely to stop automated submissions and abuse.
  • Details of the service you need: collection and delivery addresses, planned dates, the type and approximate volume of your belongings, any special packing requirements, and the size or duration of the storage unit you are after.
  • The content of your messages and the notes we take during our conversations.
  • If you go on to book with us, the information needed to invoice you and carry out the job: ID or NIE number, billing address and payment or direct debit details.
  • Technical server logs, as explained above.

4. Why we use your data, and our legal basis

We only use your data for specific purposes, each with a legal basis under the General Data Protection Regulation (Regulation (EU) 2016/679, GDPR):

  • To answer your enquiry and prepare a removals or storage quotation. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR). If your message is not about booking anything, the basis is your consent, given when you choose to write to us (Art. 6(1)(a) GDPR).
  • To carry out the service you have booked, coordinate the move or the storage unit and deal with any issues. Legal basis: performance of the contract (Art. 6(1)(b) GDPR).
  • To issue invoices and meet our accounting, tax and record-keeping duties. Legal basis: compliance with legal obligations (Art. 6(1)(c) GDPR).
  • To keep a reasonable record of our correspondence with you, handle complaints and defend our position if needed. Legal basis: our legitimate interest in being able to evidence what was agreed (Art. 6(1)(f) GDPR).
  • To keep the website secure and prevent misuse, using the server's technical logs. Legal basis: our legitimate interest in the security of our systems (Art. 6(1)(f) GDPR).
  • To send you marketing about our services, where you have consented or where you are already a customer and the services are similar to those you booked. Legal basis: your consent (Art. 6(1)(a) GDPR) or our legitimate interest under Article 21.2 of the Spanish LSSI-CE. Either way, you can opt out at any time, free of charge, by replying to any message or emailing info@psrrelocation.com.

5. How long we keep your data

We keep your data only as long as we need it for the purpose we collected it for:

  • Enquiries that do not lead to a booking: up to one year from our last contact, unless you ask us to delete them sooner.
  • Enquiries received through the website form: kept in an internal server record, not reachable from the internet, for one year from our last contact, on the same basis as any other enquiry.
  • Customer records: for the duration of our relationship and then, restricted from ordinary use, for as long as any claim arising from the contract could still be brought.
  • Invoicing and accounting records: for the periods required by Spanish commercial and tax law, which are generally six years for commercial purposes and between four and ten years for tax purposes, depending on the case.
  • Server logs: for the retention period applied by our hosting provider, for security and maintenance.
  • WhatsApp conversations: for as long as they remain useful to our relationship. Bear in mind that a copy of the conversation also stays on your own device, under your control.

6. Who we share your data with

We do not sell your data and we do not pass it to third parties so they can market to you. Only those who need access in order for us to do our job will have it:

  • Our web hosting provider, whose servers are located in Spain.
  • Our email provider and the internal tools we use to organise quotations and customer records.
  • Our accountants and tax advisers, and public authorities where the law requires it (for example the Spanish tax authority).
  • Partner companies needed to carry out your move where the job requires it (for example associated hauliers, or agents in the destination country for international moves). In those cases we share only what is strictly necessary.
  • Banks and insurers, where needed to take payment or to insure the transport and storage of your belongings.
  • Our web development and maintenance provider, who may incidentally access our systems while carrying out technical work.

7. If you contact us on WhatsApp

WhatsApp is a service run by Meta Platforms Ireland Limited. We use it as a contact channel because most of our clients find it convenient, but there is something you should know.

If you choose WhatsApp to reach us, then alongside our own processing, your data is also processed by Meta under its own terms and privacy policy, over which we have no control. Meta may process, among other things, your phone number and data about your use of the service (metadata such as when you connect or how often you send messages), and it may transfer data internationally under its own arrangements.

According to Meta, the content of WhatsApp messages is end-to-end encrypted by the app itself. Even so, if you would rather not use WhatsApp, you can email us at info@psrrelocation.com or call us: you will get exactly the same service.

We would suggest not sending us documents or sensitive information over WhatsApp unless it is genuinely necessary.

8. International data transfers

As a rule, your data is processed within the European Economic Area. The website's server is in Spain.

There are two exceptions you should be aware of. The first is WhatsApp: if you choose that channel, Meta may transfer data outside the European Economic Area under its own safeguards and transfer mechanisms.

The second is international removals: when your move starts or ends outside the European Economic Area, your details have to be passed to the agents, hauliers and customs authorities of the country concerned so that the move can actually happen. This transfer relies on Article 49(1)(b) GDPR, because it is necessary to perform the contract you have asked us for.

We use Google Analytics 4, which involves a further transfer to the United States, as explained in our Cookie policy. That tool is only switched on if you consent, and you can withdraw your consent at any time.

9. Your rights

Data protection law gives you the following rights, which you can exercise free of charge:

  • Access: find out what data we hold about you and get a copy of it.
  • Rectification: have inaccurate or incomplete data corrected.
  • Erasure: ask us to delete your data when it is no longer needed, or when you withdraw your consent.
  • Restriction: ask us to put your data on hold while a disagreement is sorted out.
  • Portability: receive the data you gave us in a structured, commonly used format, or ask us to send it to another controller.
  • Objection: object to processing we base on our legitimate interest, including marketing.
  • Not to be subject to automated decision-making: we do not take decisions about you based solely on automated processing, and we do not carry out profiling.
  • Withdraw your consent at any time where processing is based on it, without affecting the lawfulness of processing carried out beforehand.

10. How to exercise your rights, and where to complain

To exercise any of these rights, email info@psrrelocation.com or write to us at Calle Panaderos, 10D, 29692 Manilva (Málaga), Spain, telling us which right you wish to exercise and enclosing a copy of your ID, NIE or passport so we can confirm it really is you. We will reply within one month at the latest.

PSR RELOCATION & STORAGE SL has not appointed a data protection officer, as the legal criteria that would make one mandatory do not apply to us. Please send any privacy queries directly to info@psrrelocation.com.

If you feel we have not handled your request properly, or that we are using your data improperly, you can complain to the Spanish Data Protection Agency (Agencia Española de Protección de Datos, AEPD), C/ Jorge Juan, 6, 28001 Madrid, www.aepd.es. We would be grateful for the chance to put things right with you first.

11. How we keep your data safe

We apply technical and organisational measures that are reasonable and proportionate to the risk, in line with Article 32 GDPR: access controls on our systems and information, strong passwords, backups, an encrypted (HTTPS) connection on the website, and limiting access to the data to the people who genuinely need it for their work.

We will be straight with you: no system is infallible, and we are not going to promise certifications or absolute guarantees that we do not have. What we do commit to is treating your data with the care it deserves, reviewing our measures regularly and, if a security breach ever posed a high risk to you, telling you about it and reporting it to the AEPD within the legal deadlines.

12. Children

Our services are aimed at adults. We do not knowingly collect data from children under 14. If you believe a child has given us their details, email info@psrrelocation.com and we will delete them.

13. Changes to this policy

We may update this privacy policy when our processing, our tools or the applicable law change. The version in force is always the one published on this page, with its last-updated date. If a change affects you significantly, we will let you know by a suitable means.
